1. Comptes clients

1.1 Effectuer l’encaissement des paiements reçus ;

1.2 Gérer les comptes en souffrance ;

1.3 Communiquer avec les clients concernant les soldes impayés ;

1.4 Effectuer la facturation de SENC à Ashini (interne) ;

1.5 Transmettre les comptes clients aux propriétaires ;

1.6 Effectuer toute autre tâche connexe aux comptes clients.

2. Comptes fournisseurs

2.1 Saisir les factures et voir à leur approbation et vérification ;

2.2 Préparer les paiements aux fournisseurs (RBC) ;

2.3 Assurer le suivi des comptes à payer ;

2.4 Transmettre les comptes fournisseurs aux propriétaires ;

2.5 Gérer les cartes de crédit ;

2.6 Obtenir les factures de carte de crédit ;

2.7 Effectuer toute autre tâche connexe aux comptes fournisseurs.

3. Paie

3.1 Effectuer les retenues à la source (DAS) ;

3.2 Effectuer les remises FTQ ;

3.3 Soutenir la préparation et le traitement de la paie des employés, au besoin ;

3.4 Répondre aux questions des employés, au besoin.

4. Comptabilité générale (soutien)

4.1 Effectuer la conciliation bancaire (en collaboration avec le technicien comptable, au besoin).

5. Tâches administratives générales

5.1 Effectuer le classement des documents ;

5.2 Répondre aux appels téléphoniques ;

5.3 Répondre aux courriels de la boîte administration@ashini.ca (avec le technicien comptable).

6. Soutien informatique et administratif

6.1 Participer à certaines tâches de soutien informatique et administratif selon les besoins de l’organisation (ex. attribution d’équipements aux nouveaux employés, commandes, petits projets d’affichage ou de communication) ;

6.2 Les tâches précises de ce volet pourront être précisées avec le titulaire du poste selon son profil et ses champs d’intérêt.

Here are the responsibilities of the role:

La personne titulaire du poste agit à titre de professionnel-conseil en conception civile. Elle est responsable de la conception technique, de la qualité des livrables et de la conformité réglementaire des projets de génie civil qui lui sont confiés. Par son expertise, son autonomie et son jugement professionnel, elle contribue à la satisfaction des clients, à la pérennité des infrastructures conçues ainsi qu'au maintien des standards techniques d'Ashini Consultants, tout en respectant les réalités des communautés des Premières Nations.

* La personne titulaire du poste d’ingénieur.e en formation (CPI) effectue toutes les tâches de l’ingénieur.e mais sous la supervision d’un.e sénior, elle participe activement à la conception, à l’analyse technique et à la coordination multidisciplinaire de projets structuraux pour des bâtiments institutionnels, commerciaux, industriels et communautaires. Par sa rigueur, son engagement et son désir d’apprentissage, elle contribue à la qualité des livrables, au respect des normes et des échéanciers, ainsi qu’au développement des pratiques internes d’Ashini Consultants, tout en développant progressivement son autonomie professionnelle.

Here are the responsibilities of the role:

1- Project Management and Coordination (65%)

• Communicate project kick-off information to the relevant departments and ensure the administrative start-up of mandates;
• Define the objectives, needs, deliverables, schedules, and resources required to carry out projects;
• Determine the tasks, priorities, and resource needs required for project execution;
• Collaborate with discipline leads to coordinate the technical and operational activities of the teams;
• Review, coordinate, and approve engineering deliverables in accordance with project requirements;
• Plan and participate in design reviews and technical coordination activities;
• Coordinate construction follow-up with the site supervision director as well as with internal and external stakeholders involved in the projects;
• Collect, analyze, and communicate to discipline leads the information relevant to project execution;
• Monitor project progress with stakeholders and communicate issues encountered as well as proposed solutions;
• Manage changes, risks, and issues that may affect projects and plan the required interventions;
• Monitor the progress of the work and provide the information required for project invoicing;
• Track budgets, additional costs/extras, and required adjustments, and communicate relevant information to accounting and the parties concerned;
• Mobilize and coordinate the internal and external technical expertise required to carry out projects in order to ensure solutions that are adapted, consistent, and compliant with mandate requirements;
• Maintain positive professional relationships with clients, partners, and stakeholders;
• Ensure proactive communication regarding project progress, issues encountered, and proposed solutions;
• Participate in identifying client needs and contribute to the development of business opportunities;
• Collaborate in the preparation of service proposals, estimates, and technical proposals when required;
• Ensure the quality, compliance, and consistency of deliverables produced as part of the projects;
• Participate in quality control activities, technical validations, and design reviews;
• Ensure compliance with internal processes, best practices, and project management standards;
• Contribute to project post-mortem activities and ensure the follow-up and implementation of identified corrective measures and improvement opportunities.

2- Multidisciplinary Collaboration and Organizational Support (15%)

• Promote collaboration and engagement among the teams involved in projects;
• Support professionals, technicians, and collaborators in coordinating mandate-related activities;
• Act as a project management resource person for internal teams;
• Contribute to the resolution of operational and organizational issues;
• Participate in optimizing multidisciplinary coordination practices.

3- Advisory Role, Quality, and Continuous Improvement (15%)

• Act as an advisory partner to clients and internal teams in order to contribute to the effective execution of projects and the identification of solutions adapted to mandate needs;
• Actively contribute to the continuous improvement of project management practices, tools, methods, and work processes;
• Participate in the application, maintenance, and improvement of the company’s quality standards as well as processes related to the integrated management system and ISO requirements;
• Contribute to project post-mortem activities and ensure the follow-up and implementation of identified corrective measures and improvement opportunities;
• Contribute to the sharing of best practices and the development of a continuous improvement culture within the organization.

4- Professional Development (5%)

• Keep their knowledge up to date with standards, practices, and tools related to project management and their field of activity;
• Participate in their annual performance review and in the development of their professional development plan;
• Contribute to knowledge sharing and the sharing of best practices within the company.
